At TheTripTime, we understand that schedules may change due to unforeseen circumstances. This Cancellation Policy explains the terms under which car rental reservations may be cancelled, modified, or refunded. By completing a reservation through our platform, you acknowledge and agree to the conditions outlined below.

1. Booking Confirmation

A car rental reservation is considered confirmed only after TheTripTime successfully processes your payment and issues a confirmation email. This confirmation includes essential rental details such as vehicle category, rental duration, pickup and drop-off locations, pricing breakdown, and applicable taxes or fees. Customers are advised to review all information carefully upon receipt.

2. Cancellation Request Procedure

All cancellation requests must be submitted in writing via email to TheTripTime. The effective cancellation date will be the date on which the written request is received by our customer support team. Verbal or phone requests alone do not constitute an official cancellation.

3. Standard Cancellation Fees

- Cancellations made more than 72 hours prior to the scheduled pickup time are eligible for a full refund, excluding any non-refundable service fees.
- Cancellations made between 48 and 72 hours before pickup may incur a cancellation fee of up to 10% of the total rental amount.
- Cancellations made between 24 and 48 hours before pickup may be subject to a cancellation fee of up to 25% of the total rental cost.
- Cancellations made within 24 hours of the scheduled pickup time may incur a charge of up to 50% of the total rental amount.
- Failure to pick up the vehicle at the scheduled time without prior notice (no-show) will result in a 100% charge with no refund.

4. Non-Refundable and Promotional Rates

Certain discounted, promotional, or prepaid rental rates may be designated as non-refundable. These offers will be clearly identified during the booking process. Once confirmed, such reservations cannot be cancelled or refunded, regardless of the time of cancellation.

5. Refund Processing Timeline

Approved refunds will be issued to the original method of payment within 7–14 business days from the date of cancellation approval. Processing times may vary depending on your bank, credit card provider, or payment processor. TheTripTime is not responsible for delays caused by third-party financial institutions.

6. Force Majeure Events

In circumstances beyond reasonable control, including but not limited to natural disasters, extreme weather, government actions, travel bans, or public health emergencies, TheTripTime may, at its discretion, offer rescheduling options, rental credits, or refunds. Decisions will be made on a case-by-case basis and may depend on supplier policies.

7. Early Vehicle Returns

If a rental vehicle is returned earlier than the agreed-upon return date, no refunds will be provided for unused rental days. Early returns do not reduce the total rental cost, as pricing is based on reserved availability rather than actual usage.

8. Extension of Rental Period

Requests to extend a rental period must be made prior to the scheduled return time. Extensions are subject to vehicle availability and revised pricing. Additional charges may apply, and approval is not guaranteed if the vehicle is reserved for another customer.

9. Customer Responsibility and Late Returns

Customers are responsible for returning the vehicle on the agreed date and time. Late returns may result in additional daily rental charges, late fees, or penalties as outlined in your rental agreement. Repeated or excessive delays may lead to account restrictions.

10. Policy Updates and Modifications

TheTripTime reserves the right to amend or update this Cancellation Policy at any time without prior notice. The version applicable at the time of booking will govern your reservation.
